Service - website maintenance

WordPress maintenance plan

You have a business website and want to be sure someone is watching over it? Every month I update your site, and on top of that you get 2 hours of my work for changes and fixes. Updates are separate and do not use up time from the pool.

The list price applies to sites in good technical condition

I review every site before we start. If it has been neglected, I first clean it up (quoted separately) or we agree on a higher monthly fee. I confirm the final amount after the review. What I check

About the service

Ongoing WordPress maintenance and support

A business website on WordPress needs regular updates. WordPress, the theme and the plugins get security fixes every few weeks. An outdated site is the most common target of break-ins, and after a few years without care a WordPress update becomes risky, because everything has to be brought up at once.

A WordPress maintenance plan means someone takes care of that regularly. Every month I update WordPress, the theme and the plugins with a backup, and then check that the site works correctly. On top of that you have a fixed pool of hours for website admin: content changes, new sections, fixes and small improvements.

I work remotely with companies across Europe. I am based in Warsaw, so I work and reply during business hours in the CET time zone.

Scope

What the WordPress maintenance plan covers

The plan has two parts. I always do the updates, no matter how many hours you use. The hour pool is for whatever you need at the moment.

Always included

Monthly updates

Once a month I update WordPress, the theme and the plugins.

  • a backup before every update
  • a check of the key pages and forms after the update
  • if an update breaks something, I fix it without counting hours

2h every month

Hours for changes and fixes

You use them for whatever you need:

  • small changes to the design and content
  • adding photos, posts and new sections
  • forms, maps, newsletter integration
  • fixing bugs unrelated to updates
  • bigger tasks from the saved-up pool, e.g. a new feature or a page
  • consulting: what to fix, what to develop, what is worth it

Initial review

A site review before the plan starts

Before we start working together, I review your site and only then confirm the monthly fee. Maintaining a neglected site takes several times longer than a well-kept one, so it cannot cost the same.

List price

Site in good condition

  • up-to-date WordPress, theme and plugins
  • plugins that are still supported by their authors
  • a reasonable number of plugins, with no duplicated features
  • a working backup and access to the hosting

Individual quote

Neglected site

If the site has not been updated for a long time, has abandoned plugins, a heavy page builder or code nobody understands anymore, maintaining it takes more time. In that case:

  • I first bring it up to date as a one-off job, quoted separately
  • or we agree on a higher monthly fee that matches the real workload

Hour pool

A pool of hours for site changes that does not burn out

Each 2h batch is valid for 3 months: the month you get it and the next two. Unused hours carry over, so you can have at most 6h in the pool. When the third month ends, unused hours from the oldest month expire and a new batch comes in. Hours are always used starting from the oldest.

Over 6 months you pay from €900 net for the plan and use 4.5h from the pool. At the end 4h is left. 3.5h expires because it was not used within 3 months. That is why we plan bigger tasks in advance.

Planning

We plan bigger tasks in advance

Saving up hours only works well when I know early what we will spend them on. That is why:

  1. We agree on the scope at the start

In the first month of saving up hours at the latest. You tell me what you want done, and I estimate how long it takes and when I can realistically do it.

  2. We set the delivery date together

So that I can book time for it in my calendar.

  3. A last-minute request does not guarantee delivery

If a bigger task shows up a few days before the end of the third month, I will not always manage to do it in time. The oldest hours then expire, just like in any other case.

  4. Changing the scope along the way is possible

I then estimate the time and the date again.

Example: in January we agree that in March we build a new offer page, estimated at 5h. In January you use 0.5h for a small fix, 1.5h is left. In February 2h comes in and you have 3.5h. In March 2h comes in, you have 5.5h and I build the planned page on the agreed date.

Rates

Extra hours of work on your site

If a task exceeds the available pool, I bill the extra hours separately. Clients on a maintenance plan pay less for them. I always give an estimate first and start once you accept it.

Standard rate

€55 / h

net

Example: a task estimated at 8h, with 6h in your pool.
6h from the poolincluded in the plan
2h over the pool x €45€90 net
the same at the standard rate (2h x €55)€110 net
You save€20 net

Process

How WordPress support works in practice

  1. Site review and price confirmation

I check the technical condition and tell you whether we can start the plan right away or something needs to be cleaned up first.

  2. You send tasks by email

Describe what needs to be done. If you can, add a link and a screenshot.

  3. I reply within 3 business days (CET)

Outages that take the site down I start on within 24h on business days.

  4. I do the task and bill the time in 30-minute increments

For bigger tasks you first get an estimate to accept.

  5. At the end of the month you get a summary

What I did, how many hours it took and how many are left in the pool.

Plan terms

Contract
monthly, with a 1-month notice period
Payment
in advance for the given month, invoiced in EUR

FAQ

WordPress maintenance - frequently asked questions

The plan starts at €150 net per month. That covers monthly updates of WordPress, the theme and the plugins plus 2h of work for changes on the site. I confirm the exact amount after reviewing the site.

Yes. To start, I review the site and check its technical condition. If it is well kept, it goes on the plan right away. If it has been neglected, I first clean it up or we agree on a higher monthly fee.

The rules are the same, the number of hours and the price differ. A business website has fewer plugins and no payments or orders, so updates are simpler and there are usually fewer changes. That is why a site gets 2h a month from €150 net. For stores I have a separate package: WooCommerce maintenance plan.

Because it depends on the condition of the site I take over. An up-to-date, well-kept site gets the list price. If it has been neglected, I first clean it up (quoted separately) or we agree on a higher monthly fee. I always confirm the amount after the review, before we start.

No. Updates are a separate part of the plan. Fixing problems that show up after an update does not come out of the pool either.

The hours carry over to the next month. Each 2h batch is valid for 3 months, so you can have at most 6h in the pool. Example: in January you send nothing, and nothing in February or March either. In March you have 6h. In April the 2h from January expires, 2h from April comes in and you still have 6h.

Hours over the pool are billed at €45 net instead of the standard €55. Before I start, you get an estimate to accept.

I reply to requests within 3 business days (CET). Outages that take the site down I start on within 24h on business days.

All prices are net. Businesses in the EU with a valid VAT ID are invoiced under the reverse charge mechanism, so no Polish VAT is added.

The contract is monthly, with a 1-month notice period. Once the cooperation ends, unused hours are forfeited, so it is worth planning how to use them during the notice period.
